Built for restaurants, by restaurant people

An employee app for restaurants that simplifies the everyday

There is already more than enough that has to come together every day. So we gather what the team needs in one place. Less admin and system chaos, more time for people, guests and the food.

Four modules, one app

Everything a restaurant runs on, in one place

Operations, Communications, People and Knowledge. Each module solves a problem your restaurant lives with today. Read them in order, or jump straight to the one that hurts.

Operations

Everyone knows what to do. You see it getting done.

Opening at nine, deliveries at ten, a fridge acting up mid-prep and an evening crew that just clocked in. A restaurant runs on hundreds of small tasks, and most of them live in someone's head. When that someone is off, the day wobbles.

And when something breaks, the report arrives however it arrives: a call to the office, a text to the manager, an email from a guest. Then it lives on a note.

With Todolo, the day runs itself, and you watch it happen.

Checklists for every station
Opening, closing, cleaning and prep become checklists on the phone, station by station. Tick them with one hand mid-shift. Nothing depends on someone remembering, whoever is working.
Digital food safety and HACCP
Fridge and freezer temperatures, delivery checks and cleaning schedules are logged where the work happens. When the inspector visits, the documentation is already in order. No binder, no panic the night before.
Fault reports that find their owner
A guest emails about a wobbly table. A chef texts that fridge three is running warm. A supplier calls about a missed delivery. However it comes in, it goes in once. Your workflow sends it to exactly the right person, as a todo with a name and a deadline on it.
Follow the day in real time
See what's done, what's late and where it's stuck while service is running, not in a report next week. Managers stop chasing the day and start steering it.
Two or two hundred, one standard
Run two restaurants or two hundred: your routine runs the same way everywhere, and you see every site, not an average. Opening a new venue? Copy the setup and it starts with your standard from day one.

Fewer surprises, calmer shifts, and a manager who runs the restaurant instead of running after it.

Communications

Out of the WhatsApp groups. Into one calm feed.

Three group chats, a noticeboard, a note taped up by the till and a manager repeating the same message shift after shift. The people who need the information miss it, everyone else drowns in it, and the colleague who is still learning the language is left guessing.

Communication isn't the job. It's what the job runs on.

With Todolo, everything lands in one feed: sorted, translated and read.

All communication in one place
News, menus, shift notes and chats live in the app instead of five private groups. Work stays out of people's private lives, and nothing important disappears into a meme thread.
The right message to the right people
Posts go to a venue, a role or a shift, so the kitchen isn't buried in floor talk and the weekend crew sees what matters this weekend. Less noise means more of it actually gets read.
Everyone reads in their own language
Write once, in your language. Every colleague reads it in theirs, automatically translated, with the original one tap away. Chat works the same way, in both directions.
See who has seen it
Read receipts on the posts that matter, so “nobody told me” stops being an argument. Follow up with the few who missed it instead of repeating it to everyone.
Automate the routine messages
Recurring information goes out by itself, on time, every time: weekly menus, reminders, the things you say every Monday. The manager stops being a human notification system.

One feed instead of five groups, and a team that actually knows.

People

Ready before the first shift. Still here after a hundred.

Hospitality loses people faster than almost any other industry, and every resignation restarts the same loop: recruit, train in a rush mid-service, watch them leave before they get good.

Most of it traces back to two things: a chaotic start, and nobody asking how it's going until the notice lands on your desk.

With Todolo, every colleague gets a proper start, and you hear how they're doing in time to act.

Onboarding before day one
New colleagues go through their introduction in the app before their first shift: the routines, the house rules, who's who. They walk in knowing how you work, instead of learning the till while the queue watches.
Training that sticks
Courses and quizzes on the phone, in each employee's own language. You see who has completed what, from allergens to hygiene to the till, and nothing expires unnoticed.
1-2-1s with a memory
Structured check-ins that remember what you agreed last time, so the conversation stops depending on the manager's notebook, or on the manager.
Surveys that catch problems early
Short pulse surveys in the app tell you how the team is actually doing: the rota, the training and the tone in the kitchen. You hear it before it shows up as a resignation. People who are heard stay longer, and lower staff turnover is money straight back into the restaurant.

A proper start, a reason to stay, and a schedule that isn't a revolving door.

Knowledge

The same questions every day? TOD answers them.

“What's in the béarnaise?” “How do I register a return?” “Where's the closing list?” Every shift, the most experienced colleague answers the same questions mid-service, from memory, in one language.

The knowledge exists. It's just locked in binders, folders and heads.

With Todolo, your knowledge does the answering, in every language your team speaks.

TOD, trained on your restaurant
TOD is Todolo's AI assistant. He reads your handbooks, routines and menus, and answers the team's questions directly in the app. Day, night and mid-rush, so the experienced colleague can keep serving.
Every language, both directions
Ask in Turkish, get the answer in Turkish, from material you wrote in your own language. TOD speaks your whole team's languages, and never gets tired of the same question.
Handbooks that stay current
Recipes, allergen lists and routines live in one place. Change them once and everyone reads the right version, automatically translated into each colleague's language. No printouts taking on a life of their own in the kitchen.
Your documents, where you look for them
Import what you already have, from supplier agreements to safety data sheets to menu specs, and it becomes searchable, structured and findable the moment the question comes.

Ask once, answered always, and the experienced colleague finally gets to just work.

Common questions from restaurants

Can Todolo replace our WhatsApp groups?

Yes, and it's usually the first thing teams move over. Posts and chats are sorted by venue, role and shift, so everyone gets what concerns them instead of everything. And because it's a work app, nobody has to sit in a private group on their evening off to know what's happening tomorrow.

How does a fault report actually reach the right person?

However it comes in, whether that's a call, a text, an email or straight into the app, it's entered once. Your workflow rules decide who owns it: the duty manager, the technician, a named person for each kind of problem. It becomes a todo with a name and a deadline, and you can see it isn't forgotten.

Do our staff need their own phones, and does the app cost them anything?

Todolo runs on the phone your team already carries, iPhone or Android, in each person's own language. The app is part of your subscription, so employees never pay for anything.

We have our routines in binders. Do we have to start over?

No. Import what you have, whether that's Word, PDF or what's in the binders, and you get digital handbooks people can search and TOD can answer from. You choose which routines become checklists, and most teams start with opening, closing and temperatures.

Is Todolo a scheduling or payroll system?

No. Scheduling and payroll stay where they are, and Todolo connects to systems like Caspeco and Personalkollen. It runs everything around the shift: the routines, the communication, the training and the knowledge.

How do we get started?

Together with us. You book a demo and we set the app up around your routines. Most restaurants begin with one module and add the rest when they're ready. Units, people and permissions are shared, so nothing is set up twice.
