The challenge
Taco Bell had never traded in Sweden. T B Group Scandinavia brought the brand to a market where nobody on the payroll had worked the concept before, and where every routine still had to meet the standard set by the 8,500 or so restaurants everywhere else.
The openings came fast. Stadshagen, Vasagatan, Farsta and Täby inside a few months, then Mall of Scandinavia. That breaks the usual way of training a team: the crew opening restaurant four cannot learn the job from the crew that opened restaurant one, because everyone is still opening.

What they did
The organisation went into Todolo in August 2025, before the first restaurant served a guest. The routines existed as documents before they existed as shifts.
Handbooks and workbooks went in first and became the source everything else is built on. Checklists and forms sit on top of them, one per station, so opening, closing and food safety checks look the same whichever address someone is standing at. The calendar, posts and chat hold the day together and carry the traffic between units.
User management runs off Personalkollen. A new hire entered there gets a Todolo account on their own, in the right unit with the right permissions. Across eight restaurants that hire steadily, that is the difference between someone maintaining accounts every week and nobody having to think about it.
Whistleblowing, employee surveys and one-to-ones have been in the same app since day one, next to fault reporting and the workflows that move each report along. All of it in Taco Bell's own colours.
A day in the app
A shift starts with the schedule. It comes across from Personalkollen and sits on the same home screen as today's checklist and today's posts, so nobody switches app to find out when they work next. People open Todolo because they want something from it, not because a manager asked them to.
Food safety checks are filled in where they happen, on a phone, while they happen. Broken equipment goes straight into fault reporting and travels on as a case, instead of becoming a message in a group chat that somebody has to remember.
Questions about a routine go to TOD, which answers out of their own handbooks. The shift leader keeps working, and the answer is the same whoever asks it.
What changed
A new opening no longer starts on a blank page. The routines are copied from a restaurant already running them, and the permissions travel with them: the shift leader on the floor sees a different app from a first-week employee, without anyone building that again.
Since August 2025 the setup has grown to eight restaurants, covering everything from handbooks and checklists to one-to-ones and whistleblowing. The order is the point. The routines existed before the restaurants did, so each opening inherits them instead of inventing them.
