The challenge

One shop looks after itself. Whoever is standing in it can see what needs doing, who is new, and who could use five minutes after a hard customer.

37 shops do not look after themselves. The question is rarely whether the routines exist, because they do. The question is whether they were done yesterday, and whether anyone notices when they are not.

“Todolo has helped us build a clear structure in our day to day work. It is easy to use, it makes our tasks simpler, and it has made the way we work more consistent across the business. We also get quick, straightforward help whenever we need support or want to talk an idea through.”

What they did

Tre moved their operations into Todolo in spring 2025, as one setup that covers every shop.

The routines sit where the work is done: the daily ones in the shop every day, the weekly ones in their place in the week. They look the same at all 37 addresses.

On top of the routines sits the follow up. A shop manager sees what has been done in their own shop, and whoever is responsible for several sees theirs, without ringing round to ask.

The conversations with staff are in the same app. Both the one to ones and the coaching, in the same shape every time, so the fourth conversation can start from what was said in the third.

All of it in Tre's own colours and under their own logo. Staff open Tre, not a system name.

A day in the app

A shift starts with the day's routines for that shop, not a list for the whole chain. They are signed off where they happen, on a phone, while they happen.

The week's routines sit beside them, so it is possible to see what has been done and where it stopped. While the week is running, rather than in a report afterwards.

A conversation with a colleague happens in the shop and is written down while it is fresh.

What changed

One setup now covers 37 shops, and 230+ people open the app.

What makes the difference is not that the routines are gathered in one place. It is that it shows they were actually done, and that the conversation with a colleague sits in the same place as the work. What gets said becomes something to come back to, and a new shop manager does not start from nothing.
